Identifying the right collaboration problem to solve for Salesforce admins

tldr;

  • We began with a broad problem statement

  • Discovered 4 pain points through interviews

  • Identified the most valuable problem to solve within the time constraint

  • Brainstormed ideas to solve the problem

research Outcome

Identified that admins needed a way to translate technical automations into stakeholder-friendly diagrams and proposed a feature that would save them time doing that while maintaining the deeper need of doing it.

project Outcome

Proposed an AI feature that would save admins' time doing that while maintaining the deeper need of doing it.

my contribution

  • Conducted interviews with Salesforce admins

  • Coded and synthesized the research

  • Facilitated brainstorming and prioritization discussions.

project brief

HMW improve collaboration in Salesforce Flow

Salesforce Flow helps admins visually build automations for business processes without relying heavily on code.

understanding

Interviews uncovered four workflow breakdowns

We conducted generative, semi-structured interviews with Salesforce admins to understand their collaboration workflows, unmet needs, and existing workarounds.

opportunity areas

  • No version control,

  • Inaccessible stakeholder feedback,

  • Repetitive flowchart creation,

  • Fragmented documentation.

Stakeholders could not understand the technical flows

Most stakeholders were non-technical and found Salesforce Flow difficult to interpret. They avoided entering the builder and preferred to discuss progress during meetings.

Admins redrew flows before every review

To make automations understandable, admins manually recreated them in Lucidchart or similar tools before stakeholder meetings.

tedious manual task

Some flows contained 50–100+ elements

Whenever the automation changed, the supporting diagram also had to be updated or recreated.

Stakeholders could not provide meaningful feedback until admins translated the technical flow into something they could understand.

our focus

We focused on the repeated effort admins spent turning technical automations into stakeholder-friendly diagrams.

our solution

We proposed using AI to generate a flowchart from the automation already built in Salesforce Flow.

Instead of manually redrawing every element, admins could review the output, adjust its fidelity, simplify technical details, and make minor corrections.
